Terms of Use

Last updated: 1 August 2026

These terms govern use of the FRAMES platform — the web portal, the Android kiosk app and the public event pages — operated by MaxCIT Limited.

By creating an organization, installing the app, or using FRAMES on behalf of an organization, you agree to these terms. If you are accepting on behalf of an employer or school, you confirm you are authorised to bind it.

1. The service

FRAMES records attendance using facial recognition on devices you provide, and manages events, registration and QR tickets. It runs on Android phones or tablets you already own plus any modern web browser. We provide the software; we do not provide hardware.

2. Accounts

  • You are responsible for the accuracy of the information you register.
  • You are responsible for keeping administrator credentials secure and for all activity under your accounts.
  • You must verify your email address before signing in, and must tell us promptly of any suspected unauthorised access.
  • Unconfirmed registrations are deleted after 7 days. If you register and do not confirm your email address within 7 days, we remove the registration and everything created with it, automatically and without further notice. Nothing is retained, and the email address and organization name become available again. You are welcome to register afresh at any time.

3. Free trial, plans and billing

  • Every new organization receives a 30-day free trial with no card and no payment details required.
  • After the trial, continued use requires a paid subscription. Plans, prices and limits are shown in the portal and on our pricing page, in US dollars.
  • Subscriptions are billed through PayPal on a recurring monthly or yearly basis until cancelled. We never see or store your card details.
  • Cancelling stops future billing and keeps your access until the end of the period you have already paid for. We do not refund part-used periods.
  • If a payment fails, we keep your access for a grace period and notify you before any suspension.
  • Price changes take effect at your next renewal, and we will give reasonable notice in advance. Yearly subscribers keep their price until their year ends.
  • If a subscription lapses, your data is retained, not deleted, and becomes available again when you resubscribe.

4. Adults only — no enrolment of minors

You may not enrol any person under 18 years of age in FRAMES, in any sector, for any purpose. FRAMES is a staff attendance product. Educational institutions may use it for teachers and other staff, but not for pupils or students under 18.

You confirm this when you register an organization, and it is a continuing obligation. If we find or are told that minors have been enrolled, we may require immediate deletion of those records and suspend or terminate the account. Repeated or deliberate breach will end the agreement without refund.

We take this position because biometric data of minors is highly sensitive, is restricted or prohibited in a number of jurisdictions, and normally requires verifiable parental consent that FRAMES provides no mechanism to record.

5. Your responsibilities as a controller

You decide whose faces are enrolled, so the legal responsibility for that decision is yours. You agree that you will:

  • enrol only adults aged 18 or over, and verify age before enrolment;
  • obtain any consent or notice required by law before enrolling a person's biometric data, and keep evidence of it;
  • tell enrolled people what is collected, why, and how to have it deleted;
  • use FRAMES only for legitimate staff attendance and event purposes;
  • delete records of people who are no longer entitled to be enrolled;
  • answer honestly when we ask about your sector and intended use, and tell us if it materially changes.

You must not use FRAMES for covert surveillance, for identifying people who have not been enrolled by you, or for any purpose prohibited by law.

6. Acceptable use

You must not:

  • attempt to access another organization's data;
  • reverse engineer, resell or sublicense the software without our written agreement;
  • interfere with the service's operation or security, or test it without permission;
  • upload unlawful content or use FRAMES to harass or discriminate against anyone.

We may suspend an account that breaches this section, and will tell you why.

7. Accuracy and limits of the technology

Facial recognition is probabilistic, not infallible. Accuracy varies with lighting, camera quality, angle, appearance changes and other factors. You must not rely on FRAMES as the sole basis for a decision that materially affects someone — such as pay, discipline or dismissal — without a way for that person to query and correct the record.

Administrators can review and adjust attendance records; keep that route available to the people you enrol.

8. Availability

We aim to keep FRAMES available continuously but do not guarantee uninterrupted service. Maintenance, upgrades and factors outside our control may cause downtime. Kiosks keep recognising and recording offline and sync when connectivity returns, so brief outages should not lose attendance data.

9. Your data

You own your data. We process it to provide the service, as described in our Privacy Policy. You can export attendance and registration data at any time. On a written request we will delete your organization's data within 30 days, except where we must retain it by law.

10. Intellectual property

FRAMES, its software, design and the FRAMES name and logo remain the property of MaxCIT Limited. These terms grant you a limited, non-exclusive, non-transferable right to use the service during your subscription.

11. Liability

The service is provided “as is”. To the fullest extent permitted by law, MaxCIT is not liable for indirect or consequential loss, lost profits, or loss of data beyond our reasonable control. Where liability cannot be excluded, it is limited to the amount you paid us in the twelve months before the claim. Nothing here excludes liability that cannot lawfully be excluded.

12. Termination

You may stop using FRAMES and cancel at any time from the billing page. We may suspend or terminate an account for material breach of these terms, for non-payment, or where required by law — with notice, except where immediate action is necessary.

13. Changes

We may update these terms as the service develops, and will revise the date above. Material changes will be notified to account administrators by email. Continued use after a change means acceptance.

14. Governing law and contact

These terms are governed by the laws of Sierra Leone, and the courts of Sierra Leone have jurisdiction, without prejudice to mandatory consumer protections where you live.
